Privacy Policy

This policy explains what personal data VFR Connect collects from customers and contractors, why we collect it, how it is stored, and the rights you have over it.

Who we are

VFR Connect is a lead-matching platform operated by Vinyl Flooring Repairs. We connect customers who need vinyl, LVT and safety flooring repairs with independent contractors. For the data described here, we act as the data controller.

Data we collect from customers

When you post a repair job we collect your name, email address, phone number, postcode, property type, flooring type, a description of the damage, how urgent the work is, and any photos you upload. You do not need an account to post a job.

We derive the outward part of your postcode (for example “SO15”) so contractors can see roughly where a job is without seeing your full address.

Data we collect from contractors

When you apply for a contractor account we collect your email address and password credentials, company name, contact name, phone number, base postcode, coverage areas, skills, years of experience, insurance confirmation and website. We also record your approval status and any leads you unlock.

How we use the data

Customer details are used to pass the job to a contractor who has paid to unlock it, and to contact you about your submission. Contractor details are used to review and approve accounts, to match jobs to coverage areas and skills, to send job and account notifications, and to process unlock payments.

We also use aggregated, non-identifying usage data to understand how the platform is performing.

Lawful bases

We rely on contract to deliver the service you asked for (matching a job, providing a contractor account, processing an unlock), and on legitimate interests to vet contractors, prevent misuse, and notify contractors of relevant jobs. Where consent is required — for example optional marketing — we ask for it and you can withdraw it at any time.

Who we share data with

Customer contact details are hidden by default. They are released only to a contractor who has paid the £15 unlock fee for that specific job, and only for the purpose of quoting and carrying out that repair. Contractors act as independent controllers of the details they receive.

We also use trusted service providers to run the platform: our hosting and database provider, Stripe for payment processing, and our email delivery provider for transactional notifications. We do not sell personal data.

How data is stored and protected

Data is stored in a managed database with row-level security. Customer contact fields are enforced server-side and cannot be read by a contractor without a recorded paid unlock. Job photos are held in private storage and served only through short-lived signed links. Access is restricted to the platform's server functions and approved administrators.

Payment card details are never stored by us — they are handled directly by Stripe.

How long we keep it

Job records and photos are kept while a job is active and for a reasonable period afterwards for dispute resolution and quality checks. Contractor accounts are kept while active and removed on request. Payment and unlock records are retained for as long as required for accounting and tax purposes.

Your rights

Under UK GDPR you can request access to your data, correction of inaccurate data, deletion, restriction of processing, portability, and you can object to processing based on legitimate interests. Contact us to exercise any of these rights.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies and similar technology

We use only essential storage needed to keep contractors signed in and to keep the platform secure. We do not use advertising or cross-site tracking cookies.
